AI Explorer (ABN 13 398 259 198) is committed to protecting your privacy and handling your personal information responsibly and transparently.

This Privacy Policy explains how we collect, use, store, disclose, and protect personal information in connection with our websites, platforms, and services (collectively, the Services), including the AIx website (ai-explorer.com.au), the AIx Assessment, the AIx Insights Portal, workshops, and related digital content.

This policy is issued in compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Where we refer to we, us, our, or AIx, we mean AI Explorer (ABN 13 398 259 198).

By using our Services, you acknowledge that you have read and understood this Privacy Policy.

2. What personal information we collect

We collect the following categories of personal information, depending on how you interact with our Services:

2.1 Information you provide to us

  • Account information: your name, email address, and any password or login credentials you create when registering for an account.

  • Assessment responses: the answers you provide when completing the AIx Assessment (our AI readiness survey). These include self-reported information about your work practices, AI tool usage, attitudes, and professional context.

  • Profile and demographic information: information you may provide such as your job title, organisation, industry, years of experience, and location.

  • Payment information: if you purchase a paid service, your payment details are collected and processed by our payment provider (currently Stripe). We do not store your full credit card number or bank details.

  • Communications: information you provide when you contact us via email, a form on our website, or social media, including any feedback or enquiries.

  • Workshop participation: information provided when you register for or participate in an AIx workshop.

2.2 Information collected automatically

  • Device and usage data: your IP address, browser type and version, operating system, device type, time zone, pages visited, time spent on pages, navigation paths, and referring URLs.

  • Cookies and similar technologies: we use cookies and similar tracking technologies to recognise you, remember preferences, and analyse how the Services are used. See our Cookie Policy for details (aiexplorer.newzenler.com/cookiepolicy).

2.3 Information from third parties

We may receive personal information from third-party service providers that support our Services, including our course and digital product platform (Payhip) and analytics providers (such as Google Analytics). We only accept such information where it is necessary to deliver or improve the Services.

2.4 Sensitive information

We do not intentionally collect sensitive information as defined under the Privacy Act 1988 (Cth) (for example, information about your health, racial or ethnic origin, political opinions, religious beliefs, sexual orientation, or criminal record). If we ever need to collect sensitive information, we will obtain your explicit consent and explain why it is required.

We collect and use your personal information for the following purposes:

To send you marketing communications about AIx services, resources, or events. We will only send marketing emails where you have opted in, and you can unsubscribe at any time.

Legal compliance

To comply with applicable laws, regulations, and legal processes, and to protect the rights, safety, and property of AI Explorer, our users, and the public.

 

We will not use your personal information for a purpose materially different from those described above without first notifying you and, where required by law, obtaining your consent.

4. How we handle AIx Assessment data

Because the AIx Assessment collects self-reported information about your professional practices and capabilities, we want to be especially clear about how this data is treated:

  • Your assessment responses belong to you. You can request access to or deletion of your assessment data at any time (see section 10).

  • Your individual results are private. Your personalised scores, insights, and recommendations are only visible to you through your Insights Portal account (unless you choose to share them, for example via the LinkedIn sharing feature).

  • Aggregated benchmarks are anonymised. We may use de-identified, aggregated data from assessments to produce benchmark comparisons (for example, average scores by industry or role). No individual can be identified from this data.

  • Assessment data is not sold. We will never sell your assessment responses or individual results to any third party.

  • Organisational assessments. If you take the AIx Assessment through an employer or organisation programme, your organisation may receive aggregated, team-level reporting. Your individual responses will not be shared with your employer unless you provide explicit, informed consent.

5. Marketing communications

We comply with the Spam Act 2003 (Cth) and the Do Not Call Register Act 2006 (Cth). This means:

  • We will only send you commercial electronic messages (such as marketing emails) where you have given your consent or where we are permitted to do so under the Spam Act (for example, if you are an existing customer and the message relates to similar services).

  • Every marketing email will clearly identify AI Explorer as the sender and include a functional unsubscribe mechanism.

  • If you unsubscribe, we will action your request within 5 business days.

  • We will not share your email address with third parties for their marketing purposes without your express consent.

6. Disclosure of personal information

We may share your personal information with the following categories of third parties, only to the extent necessary for the purposes described in this policy:

Hosts the Insights Portal database infrastructure, including assessment scores and dashboard data.

Google Analytics

Collects anonymised website usage data to help us understand how visitors use our site and improve the experience.

Wix (website hosting)

Hosts the main AIx website. May collect device and usage data through its platform.

Professional advisers

Lawyers, accountants, and auditors who provide professional services to AI Explorer, under obligations of confidentiality.

Government and regulators

Where we are required by law to disclose information (for example, to the ATO, OAIC, or a court).

 

We do not sell your personal information to any third party. We require all third-party service providers to handle your data in accordance with applicable privacy laws and our instructions.

7. Cross-border disclosure of personal information

7.1 Australian data hosting

Our primary data infrastructure, including the AIx Insights Portal and assessment database, is hosted in Australian data centres. This means your core personal information and assessment data is stored and processed within Australia, subject to Australian law.

7.2 Overseas service providers

Some of the third-party services we use are based outside Australia. This means certain personal information may be transferred to, stored in, or processed in countries outside Australia:

  • Payhip (United Kingdom) — course platform hosting and digital product delivery.

  • Stripe (United States) — payment processing.

  • MailerLite (Lithuania / European Union) — newsletter distribution (email addresses only).

  • Google Analytics (United States) — anonymised website usage data.

 

In accordance with APP 8, before disclosing personal information to an overseas recipient, we take reasonable steps to ensure that the recipient handles it in a manner consistent with the Australian Privacy Principles. These steps may include entering into contractual arrangements that require the recipient to comply with privacy obligations equivalent to those under Australian law.

8. Data security

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, and disclosure (as required by APP 11). Our security measures include:

  • encrypted data transmission (HTTPS/TLS) across all our platforms;

  • access controls that limit who within our organisation and service providers can access personal information;

  • secure password hashing and authentication mechanisms for user accounts;

  • regular review of our data handling practices and security measures; and

  • contractual obligations on third-party service providers to maintain appropriate security standards.

 

While we take reasonable precautions, no method of electronic storage or transmission is completely secure. We cannot guarantee the absolute security of your personal information.

9. Data retention

We retain your personal information only for as long as reasonably necessary to fulfil the purposes for which it was collected, or as required by law. Specifically:

  • Account and assessment data: retained for as long as your account is active, plus a reasonable period after closure to allow you to reactivate or request your data.

  • Payment records: retained for 7 years after the transaction, as required by Australian taxation law.

  • Marketing preferences: retained until you withdraw consent or unsubscribe.

  • Website analytics data: collected in anonymised or aggregated form and retained in accordance with our analytics provider’s practices.

 

When personal information is no longer needed, we will take reasonable steps to destroy or de-identify it in accordance with APP 11.2.

10. Your rights under the Privacy Act

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles, you have the right to:

  • Access your personal information (APP 12): You can request a copy of the personal information we hold about you. We will respond within 30 days.

  • Correct your personal information (APP 13): If you believe the information we hold about you is inaccurate, incomplete, out of date, or misleading, you can request that we correct it.

  • Request deletion: While the Privacy Act does not include a general right to erasure equivalent to the GDPR, we will take reasonable steps to delete or de-identify your personal information upon request, unless we are required to retain it by law.

  • Withdraw consent: Where we rely on your consent to process personal information (for example, for marketing), you may withdraw that consent at any time.

  • Opt out of marketing: You can unsubscribe from marketing communications at any time using the link in any email, or by contacting us directly.

11. Notifiable data breaches

In the event of an eligible data breach that is likely to result in serious harm, we will comply with the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act 1988 (Cth). This means we will:

  • take reasonable steps to contain the breach and assess the risk of harm;

  • notify affected individuals as soon as practicable, including a description of the breach, the types of information involved, and recommended steps you can take; and

  • notify the Office of the Australian Information Commissioner (OAIC).

This is consistent with our Terms and Conditions, which require users to be at least 18 years old.
